Checklists
Checklists make gate decisions consistent. They do not replace ownership, but they ensure decisions are based on the minimum information about value, data, risk, readiness, and impact.
Intake checklist
- problem is described through a process;
- initiator is known;
- business owner or candidate is defined;
- expected impact type is clear;
- similar initiatives were checked;
- no obvious data or security prohibition exists;
- next step has an owner.
Process passport readiness
Used before deep assessment and completing the use case document.

- trigger, outcome, volume, and frequency are described;
- steps are broken down by work type;
- data and access are recorded;
- five AI-fit axes are scored;
- route to an AI product is stated or a stop signal is recorded;
- baseline and value hypothesis with impact owner exist;
- calculation boundary is named.
Use case readiness
- users and roles are described;
- current process is captured;
- pain points are listed;
- baseline or collection method is defined;
- solution hypothesis is stated;
- data sources are known;
- constraints are described;
- AI product is selected or selection task is planned.
Delivery readiness
- AI product selected;
- project lead assigned;
- key data availability confirmed;
- preliminary security review completed;
- delivery track is clear;
- resource estimate exists;
- pilot success criteria are defined;
- decision owners agreed.
Production readiness
- functionality matches the agreed scenario;
- quality tested on representative examples;
- architecture approved;
- access configured;
- monitoring and logging work;
- incident procedure exists;
- users trained;
- support owner assigned;
- rollback plan described;
- impact review date assigned.
Value realization
- baseline recorded;
- target agreed;
- factual data collected;
- calculation method is clear;
- impact confirmed by owner;
- external factors considered;
- scaling, improvement, or closure decision made;
- initiative card updated.
